Improved process to request translation coverage

If you need to translate more than 3,500 words in documents for an immigration or refugee matter, LAO has updated two key documents with clearer instructions that that will make the approval process smoother.

  1. Disbursements Handbook

    The Translation section has been updated and expanded. Roster lawyers are strongly encouraged to take the time to read the update. The new section provides:

    • improved guidance to roster lawyers on how to request authorization for more than 3,500 words of translation
    • more detailed information on when translation can be billed as a disbursement

    If a news article is included in the first 3,500 words to be translated and there is no equivalent available in French or English, you will no longer need to request special authorization for translation.

  2. Translation Request form

    The revised form, available in the LAO Forms Library, can be used to request authorization to translate documents exceeding 3,500 words. While optional, using this form ensures requests are complete and can be processed within the standard five business days.

How to submit requests

Submit requests for authorization to translate more than 3,500 words through Legal Aid Online in the “Communications for LSP” link. The service standard for translation requests, like all disbursement requests, is five business days. Roster lawyers should submit requests prior to incurring the expense of translating additional documents whenever possible.

Reminder: Legal aid clients should never be asked to pay for translation costs, nor the cost of other disbursements or legal aid services, as set out in section 44(1) of the Legal Aid Services Act, 2020.
