West Scarborough Community Legal Services, a community legal clinic, is seeking a service-focused individual who is passionate about social justice and making a difference In people’s lives. Our diverse staff provide legal services, as well as outreach initiatives, to low Income residents in the culturally diverse Scarborough community. Our practice in poverty law includes workers’ rights, tenants’ rights, income maintenance and immigration matters.

We are currently hiring a full time Administrative Assistant to work at the legal clinic to provide intake, reception and administrative support to staff. The anticipated start date is mid-September 2022. The annual salary is $46,000 commensurate with qualifications and experience. The compensation package includes a comprehensive co-funded health and dental benefits package and 5.5% RRSP contribution. This is a unionized position.


  • Reception duties – first point of contact for clients and others
  • Elicit, summarize and record intake information from clients in Client Information Management System (CIMS)
  • Provide basic Information regarding clinic services and referral information to community resources
  • Accurately record and digitally file information from all sources, including by telephone, fax, email, text, other communications and in-person visits
  • Provide general administrative and case support for staff with scanning, faxing, copying, filing, emailing and saving documents to clinic network, drafting letters, processing mail)
  • Assist with docketing and updating client and outreach records in CIMS
  • Assist staff to produce statistical reports
  • Maintain pamphlets & forms
  • Maintain office equipment
  • Assist with development of office procedures
  • Assist with maintenance of clinic website and social media as needed
  • Perform other duties as assigned.

Preferred Skills & Experience:

  • Related post-secondary diploma or degree or demonstrated office administration or client service experience
  • Exceptional interpersonal skills & ability to respond sensitively to vulnerable low-income clients
  • Excellent oral & written communication skills in English
  • Excellent computer skills (experience with MS Word, Excel, Microsoft Outlook and Adobe) & the ability to learn new software quickly
  • Proficiency with digital tools including video conferencing and social media
  • Ability to work effectively & collaboratively as part of a team and independently and to take direction
  • Flexibility & ability to manage competing priorities and multi-task
  • Ability to innovate and to learn & adapt to new or modified policies and procedures
  • Commitment to the social justice work of the legal clinic to deliver high quality legal services to disadvantaged individuals
  • Fully vaccinated subject to medical or Ontario Human Rights Code-based exemptions


  • Proficiency in French or other languages spoken by those we serve
  • Experience in a legal clinic or other non-profit
  • Experience using CIMS (Client Information Management System)
